Privacy Policy

This Privacy Policy explains how Trade Realm handles information connected with this website and business inquiries. It is written to describe the current website experience, including front-end forms that display a local confirmation and do not transmit submitted information to Shopify or another recipient.

1. Scope of this policy

This policy applies to information processed through this website, information provided in direct business communications, and records created when a prospective or current client requests trade consulting services. It does not govern the practices of carriers, brokers, government agencies, financial institutions, legal advisers, or other independent parties.

2. Information you may provide

Depending on how you contact us, information may include your name, business name, business email address, phone number, trade lane or region, requested service, project timing, and a description of the operational issue. If an engagement begins, we may also receive contracts, commercial documents, product descriptions, supplier information, process records, or other materials reasonably needed for the agreed scope.

Please do not place payment card data, passwords, government identification numbers, sensitive personal information, export-controlled technical data, or confidential shipment records into a front-end website form.

3. How the website form works

The consultation form included in the supplied website code validates required fields in your browser, creates an on-screen reference, displays a confirmation, and clears the fields. In its current form, it does not send, store, or transmit the submitted content. If the site owner later connects the form to a provider, the site owner must update this policy and provide any required notice before collection begins.

4. Information collected automatically

The website itself may generate standard technical requests needed to deliver pages and assets. Shopify, the hosting environment, a content delivery network, or browser security systems may process IP address, device and browser information, page request timestamps, referrer data, and security logs. The exact processing depends on the store configuration and services enabled by the site owner.

5. How information is used

  • To respond to business inquiries and discuss requested services.
  • To scope, deliver, administer, and document consulting engagements.
  • To review trade processes, documents, costs, counterparties, and compliance workflows when authorized.
  • To maintain business, accounting, security, and dispute records.
  • To protect the website, clients, and business from misuse or fraud.
  • To comply with applicable legal, regulatory, tax, and professional obligations.

6. Legal bases and business purposes

Where a legal basis is required, processing may be necessary to take steps at your request before entering an agreement, perform an agreement, comply with legal obligations, or pursue legitimate business interests such as responding to inquiries, maintaining appropriate records, improving operations, and protecting systems. Consent will be used where required for a specific optional activity.

7. Sharing and service providers

Information may be shared only as reasonably necessary with authorized personnel and service providers supporting hosting, document storage, professional advice, accounting, security, or communications. Information may also be disclosed when required by law, court order, lawful government request, or to protect legal rights and safety. Trade Realm does not sell personal information for monetary consideration.

8. Client-provided business records

Clients are responsible for having authority to provide business and personal information contained in project records. Materials should be limited to what is necessary for the agreed scope. Where possible, sensitive fields should be redacted before documents are shared. Trade Realm may decline or return materials that are outside the scope or create an unreasonable security or compliance risk.

9. Retention

Information is retained only for as long as reasonably needed for the purpose for which it was collected, to complete the engagement, maintain business and tax records, resolve disputes, enforce agreements, and meet legal obligations. Retention periods vary according to the type of record, contractual requirements, and applicable law.

10. Security

Reasonable administrative, organizational, and technical measures are used to protect information under our control. No website, device, email system, or storage method can be guaranteed completely secure. Clients should use appropriate secure channels for confidential documents and should not send sensitive records until a suitable method has been agreed.

11. Your choices and rights

Depending on your location and applicable law, you may have rights to request access, correction, deletion, restriction, portability, or objection. You may also withdraw consent where processing depends on consent. Requests may require reasonable identity verification and may be limited where retention is required by law or necessary to protect legal rights.

12. Children

This website and the consulting services are intended for business users and are not directed to children. Trade Realm does not knowingly seek personal information from anyone under 18 through this website.

13. International processing

Trade consulting can involve parties and records located in different countries. Where information is transferred across borders, reasonable steps will be taken to use an appropriate legal and contractual basis when required. Users should not assume that privacy rules are identical in every jurisdiction.

14. Changes to this policy

This policy may be updated when the website, form functionality, service providers, business practices, or legal requirements change. The revised version will be identified by a new “Last updated” date. Material changes may be communicated by an additional website notice where appropriate.
